Five ways to give your AI one place for the facts

By Brian MacDonald, founder of Ownbox ·

Your AI doesn't know your business until you give it the answers. These are the five documents I'd start with. Each works in any tool. I keep mine in my Ownbox's AI Brain.

  1. The last five questions. Find the person everyone asks. Write down the last five questions they answered, with the exceptions. Question at the top, answer below, and a date on anything that could change.
  2. A decisions log. What you decided, who made the call, when, and why. When a decision changes, add a new entry. Keep the history.
  3. The facts your AI gets wrong. Ask your AI what you charge, your refund policy, and what you promised a client. Make it show where each answer came from. Write down the right answer, then ask again.
  4. One brief per client. The job, the offer, what's approved and what changed. One person keeps it current.
  5. A public page of answers. Who you help, what you sell, what it costs and what's included, written so AI assistants can find it. Keep it apart from what's private.

Want all five in one place your team and your agents already share? That's Ownbox: a Shared AI Business Brain on a server you own. No lock-in. No contracts.
