What is a company brain?

A company brain is a centralized database that holds everything a company knows, accessible to both the team and AI agents working together.

A company brain is a centralized place that holds what a company knows and that both its team members and AI agents can read from and work with. Instead of business information scattered across email, chat, files and apps, a company brain keeps everything in one searchable location so the team and AI agents share the same facts, nothing gets lost in handoffs, and people don't have to re-explain the business.

What a company brain holds

A company brain is where business information lives in one place instead of scattered across tools. It typically contains:

  • Customer information and interaction history
  • Pricing, policies and product information
  • Processes and decisions the company has made
  • Files, documents and records
  • Communication and conversation history

All of this is searchable so anyone on the team can find what they need, and AI agents can read it to understand the business context.

Why a company brain matters

Most companies today manage information across many separate apps and tools. Sales information lives in a CRM. Customer questions go to email. Documentation sits in Google Drive. Chat happens in Slack. When a team member or an AI agent needs to understand something about the business, they have to check multiple places, and information gets contradictory or out of date.

A company brain solves this by creating one source of truth. The team works from one set of facts. AI agents work from the same facts. New team members can read what the company has decided. When something changes—a price, a policy, a process—it updates in one place and everyone sees the change.

How company brains work with AI agents

When AI agents work for a company, they need to know what the company knows: the tone of voice, the products sold, the policies that apply, the pricing, the audience, past decisions and ongoing context.

Without a company brain, you have to tell each AI agent or AI tool the same context separately. You paste information into ChatGPT, then paste it again into another tool, then set it up in email automation, then give it to a third-party platform. Each tool has only the context you fed it last time, and nothing connects.

With a company brain, every AI agent can read from one place. An AI agent drafting customer replies sees the same customer history, policies and tone that another AI agent working on content creation sees. They don't contradict each other. The team can see what each agent has done because it came from the same shared context.

Company brains and ownership

A company brain should belong to the company that owns it. Some platforms host business information in their own database, which means the company does not truly control it—a vendor can change pricing, change features, or even switch off access.

Other systems let you export your data as a file, but that file is just a snapshot—it doesn't include the working system that your team and AI agents rely on.

A company brain that your company owns means the data and the system stay yours. You can see everything. You can make copies. You decide who can read it and who can change it. No vendor can lock you in.

Company brains and data safety

A company brain works best when the data stays private. This means:

  • Agents can read what is in the brain, but a person decides what goes out. Emails, posts and replies are drafted and approved before sending.
  • Not everything in the brain is public. A company can mark certain documents as public—for example, an article answering customer questions—and keep the rest private.
  • The company decides who on the team can see and change what. Different people can have different levels of access.

This way, AI agents can do real work without having unsupervised access to sensitive information.

How Ownbox company brains work

Ownbox calls its company brain the Shared AI Brain. It is a set of folders and files that live on an Ownbox server the company owns. The Shared AI Brain:

  • Reads inside PDFs, Word documents and Excel spreadsheets, not just file names.
  • Lets team members and AI agents search for exact passages across the business's files, inbox and published articles.
  • Includes a Public folder: documents the owner approves become visible to AI assistants and search engines; everything else stays private.
  • Holds 5 GB of information with Ownbox Core or 15 GB with Ownbox Pro.
  • Exports in full if a company moves or wants a backup.

Every AI agent on the Ownbox reads from the same Shared AI Brain. Every machine the business runs—like one that writes customer-facing content or one that drafts email replies—works from the same business context. This shared context is what prevents contradictory answers, mixed-up customer information, and the need to explain the business separately to each AI agent.

Can my company brain work with files I already use?

Yes. A company brain complements your existing file storage like Google Drive and Dropbox; it does not replace them. Your files stay where they are. The Shared Brain holds the business information and context that your team and AI agents need to work together.

How much information can a company brain hold?

Ownbox Shared AI Brains hold 5 GB with Core or 15 GB with Pro. Everything inside exports in full, so you can back it up or move it anytime.

Who decides what appears in the company brain?

The company owner decides what the team and AI agents can see. Different people can have different levels of access. Documents can be marked public for AI assistants and search engines to find, or kept private.

Can I move my company brain to my own server?

Yes. Your company brain exports in full. Ownbox can also move your Shared AI Brain to a DigitalOcean account you control any time from 30 days after setup.
