How can an AI employee work my inbox?

Email, Instagram and Messenger in one queue, a reply drafted for every message, and nothing sent until a person approves it. Here is how the work divides.

An AI employee can work your inbox by reading every message as it arrives, drafting a reply that sounds like you, and leaving it for a person to approve. On an Ownbox, your email, Instagram and Messenger land in one queue on a machine you own, and nothing reaches a customer until someone on your team says so.

What does the AI employee actually do?

It does the part of the inbox that takes the time, and stops before the part that carries the risk:

  • Reads everything as it comes in, on every channel, so nothing waits for someone to notice it.
  • Drafts a reply to each message that needs one, in the way your business already answers.
  • Keeps it in one queue, so a DM from Friday and an email from this morning sit side by side instead of in three different apps.
  • Sums up the night on the morning page: what came in, what needs a person, and what changed.

The draft is the handoff. A person reads it, edits it if they want to, and sends it. The AI never sends on its own.

Which messages can it read?

The Unified Inbox reads your email accounts, such as Gmail, Yahoo and iCloud, alongside Instagram and Facebook Messenger. Every message lands in the same queue, whichever channel it came from, and the replies go back out on the channel the customer used.

What stays with the people?

Three things never move to the AI:

  • Sending. Every reply waits for a person to approve it.
  • The connections. Only the owner of the box can connect an account, change it or switch it off. Everyone else on the team can read, reply and send.
  • The final say on tone. A draft is a starting point, and anyone approving it can rewrite it first.

Can Claude or ChatGPT read my inbox?

Yes, and only read it. The machine speaks MCP, so the Claude or ChatGPT account you already use can ask it questions directly: how many conversations came in this week, what a customer said last month, which messages are still waiting on a reply. It can read your inbox, and it can never send from it.

Where do the messages live?

On the machine's own disk, in one database on a server you own. That is also why search works the way it should: you can search every conversation you have ever had, on every channel, without remembering which app it was in.

The Unified Inbox is an add-on machine that runs on the Base Machine, on a server you own.

Does the AI send replies on its own?

No. Every reply waits for a person to approve it before it reaches a customer.

Can my whole team use the inbox?

Yes. Everyone on the box can read, reply and send. Only the owner can connect, change or switch off an account.

Does it work on a mobile device?

Yes. It installs as a mobile app straight from the browser, on iPhone and Android.
